How it works

IntraPhone is a centrally hosted service. We take care of hosting, monitoring and backup so that our customers doesn't have to worry about it. All that is needed to access the central parts of the IntraPhone service is a web browser with internet access. You then get access to our easy to use web tool for administration and follow-ups.

The different phone tools are accessible through a normal phone or mobile phone and works pretty much like the bank by phone. You call in and create your reports by the phone keys. The activities that can be reported are printed on a small plastic laminate that the staff carries with them.

When you arrive at the home of the client you make a phone call from the client's landline phone to IntraPhone's IVR system. The number you dial is a toll free number, so it has no impact on the client's phone bill and is free of charge. During the call you get to listen possible messages from management or coworkers. When the work is done and it is time to leave the home of the client, you again dial the number to IntraPhone and report with digit codes and spoken messages what has been performed during the visit.

A landline phone can only be at one location and by that the IntraPhone service gives a secure location identity. You simply know who was at the client's location and when.

You can also use an Android-based smartphone or tablet to register with the IntraPhone system. You download IntraPhone's application from Android Market, register the phone in the IntraPhone system and can get right to work! Quick and simple!

In order to get as secure proof of location as with the landline phone a so-called QR-tag (a sort of bar code) or RFID-tag is needed at the home of the client. When arriving at the client you register arrival with the tag. Same procedure when the visit is over and now you can also register activities and leave messages.

In the smartphone application it is also possible for the staff to view the work day and visit planning and to access maps.

The care documentation that can not be reported with codes is spoken as a sound message. The LiveText-service of IntraPhone have staff that converts the spoken message to text that can be sent with integration to the central documentation system you use. This provides a high quality of the documentation. See it as the care worker's own secretary! The LiveText service is available both in the IVR tools, the smartphone application and when creating reports in the web tool.

All access to the IntraPhone system, wether it is done from a smartphone or web browser, uses encrypted communication. In order to access the IntraPhone web tool for administration, reports and statistics, a so called hard certificate is required, for example RSA SecurID or a Yubikey.

The system is open for integration with central care systems, payroll systems or other administrative systems that might need the information.
